Mailbox Management

    Unhide from address lists

    Using this option, you can unhide the hidden Exchange mailboxes of the desired users from the Exchange Address Lists.

    Steps:

    1. Click the Office 365 tab.
    2. Select Management from the left navigation section and click Mailbox Management.
    3. Under the Exchange Mailbox Tasks category, select the Unhide From Address Lists option.
    4. Choose the appropriate O365 tenant account.
    5. Click Enter name(s) to search, or import the details of the desired mailboxes from a CSV file.
    6. Note: Under name search, click on search without entering any input, to view the complete list. For CSV file import, click Download Sample CSV to view the format.

    7. Select the objects for which you want to apply this configuration.
    8. To preview selected objects, click Selected Objects count.
    9. Click Apply to execute.
    10. Once executed, you can view the status of the operation.

    Mailbox message size restriction

    This option allows you to set the maximum size limit for message sending and receiving for mailboxes in bulk.

    Steps:

    1. Click the Office 365 tab.
    2. Select Management from the left navigation section and click Mailbox Management.
    3. Under the Exchange Mailbox Tasks category, select the Mailbox Message Size Restriction option.
    4. For imposing a restriction on the send size of messages, enable the Modify Send Message Size option and choose from the following options:
      1. User default limit
      2. Maximum limit
    5. For imposing a restriction on the size of the message that is being received, enable the Modify Receive Message Size option and choose from the following options:
      1. User default limit
      2. Maximum limit
    6. You can also restrict the users from whom you can accept messages by enabling the Modify Message Restrictions option and configuring the Accept Messages From and Reject Messages From parameters.
    7. Select the required Office 365 Tenant Account.
    8. Select the desired mailboxes either by manually entering their names or by importing a CSV file that contains the details of the mailboxes.
    9. Click on Apply.

    Enable/Disable Mailbox Archive

    This option allows you to enable or disable mailbox archiving for multiple mailboxes.

    Steps:

    1. Click the Office 365 tab.
    2. Select Management from the left navigation section and click Mailbox Management.
    3. Under the Exchange Mailbox Tasks category, select the Enable/Disable Mailbox Archive option.
    4. Enable or disable the Mailbox Archiving option.
    5. If you choose to enable the Mailbox Archiving option, you can also provide a suitable Archive Name.
    6. Choose the required Office 365 Tenant Account.
    7. Select the desired mailboxes either by manually entering their names or by importing a CSV file that contains the details of the mailboxes.
    8. Click on Apply.

    Mailbox Address Policy:

    This option lets you configure the Address Book Policies for multiple Exchange mailboxes at one go.

    Steps:

    1. Click the Office 365 tab.
    2. Select Management from the left navigation section and click Mailbox Management.
    3. Under the Exchange Mailbox Tasks category, select the Mailbox Address Policy option.
    4. Choose the desired Address Book Policy.
    5. Choose the required Office 365 Tenant Account.
    6. Select the desired mailboxes either by manually entering their names or by importing a CSV file that contains the details of the mailboxes.
    7. Click on Apply.

    Shared Mailbox Permission Changes

    This option allows you to configure permissions that users have over other mailboxes.

    Steps:

    1. Click the Office 365 tab.
    2. Select Management from the left navigation section and click Mailbox Management.
    3. Under the Shared Mailbox Tasks category, select the Shared Mailbox Permission Changes option.
    4. Specify the users and the required permissions and also specify whether you want to Allow or Disallow those permissions.
    5. Click on the '+' symbol to configure the next set of users and permissions.
    6. Choose the required Office 365 Tenant Account.
    7. Select the desired mailboxes either by manually entering their names or by importing a CSV file that contains the details of the mailboxes.
    8. Click on Apply.

    Shared Mailbox Autoreply Configuration

    This option allows you to enable, disable or schedule auto-reply settings for shared mailboxes. You can also configure the external and internal messages for shared mailboxes that are to be sent automatically.

    Steps:

    1. Click the Office 365 tab.
    2. Select Management from the left navigation section and click Mailbox Management.
    3. Under the Shared Mailbox Tasks category, select the Shared Mailbox Autoreply Configuration option.
    4. Enable or disable auto-reply.
    5. If you are enabling auto-reply, then specify the message that must be sent automatically to receivers:
      1. Within the organization
      2. Outside the organization
    6. You can also set the duration during which auto-reply must be sent.
    7. Choose the required Office 365 Tenant Account.
    8. Select the desired mailboxes either by manually entering their names or by importing a CSV file that contains the details of the mailboxes.
    9. Click on Apply.

    Shared Mailbox Forward To

    This option allows you to enable or disable email forwarding for shared mailboxes. You can also configure internal and external forwarding addresses for shared mailboxes in bulk using this option.

    Steps:

    1. Click the Office 365 tab.
    2. Select Management from the left navigation section and click Mailbox Management.
    3. Under the hared Mailbox Tasks category, select the Shared Mailbox Forward To option.
    4. Select the Don't forward option if you want to disable email forwarding.
    5. If you want the emails to be forwarded, then specify the Internal Email Address or External Email Address according to your need.
    6. You can also choose to keep a copy of the forwarded emails.
    7. Select the required Office 365 Tenant Account.
    8. Select the desired mailboxes either by manually entering their names or by importing a CSV file that contains the details of the mailboxes.
    9. Click on Apply.

    Shared Mailbox Conversion

    This option allows you to convert a mailbox to a regular, room, or equipment mailbox, in bulk.

    Steps

    1. Click the Office 365 tab.
    2. Select anagement from the left navigation section and click Mailbox Management.
    3. Under the Shared Mailbox Tasks category, select the Shared Mailbox Conversion option.
    4. Choose the type of mailbox to which the desired mailboxes have to be converted to. You can choose to convert mailboxes to the following types:
      1. Regular mailbox
      2. Room mailbox
      3. Equipment mailbox
      4. Shared mailbox
    5. Choose the required Office 365 Tenant Account.
    6. Select the desired mailboxes either by manually entering their names or by importing a CSV file that contains the details of the mailboxes.
    7. Click on Apply.

    MailTip Settings

    This option helps you enable or disable and configure the MailTip message for shared mailboxes in bulk.

    Steps

    1. Click the Office 365 tab.
    2. Select Management from the left navigation section and click Mailbox Management.
    3. Under the Shared Mailbox Tasks category, select the MailTip Settings option.
    4. If you want to enable the MailTip settings:
      1. Select the Set MailTip option
      2. Specify the MailTip text.

      NOTE: The maximum character limit of the MailTip is 175 characters and it will be displayed to the user while drafting the email.

    5. If you want to disable the MailTip settings, select the Remove MailTip option.
    6. Choose the required Office 365 Tenant Account.
    7. Select the desired mailboxes either by manually entering their names or by importing a CSV file that contains the details of the mailboxes.
    8. Click on Apply.
