Dynamic DL group creation templates help administrators in standardizing the dynamic DL group creation process. In the template, you can specify the attribute values that must remain common in multiple groups. You can then use the template to create multiple dynamic DL groups, and the groups will automatically be created according to the template specifications. This helps save a lot of time and effort unnecessarily spent in updating the attribute values for each dynamic DL group individually.
Various filters can also be applied to specify the users that can be made members of a dynamic DL group. Filters based on container, department, title, description, etc. can be used to narrow down the suitable dynamic DL group members.
The template structure consists of tabs (viz. general, filters, Exchange) and attribute fields (in which attribute values are specified). The 'drag-n-drop' functionality of dynamic DL group creation templates can be used to customize the template structure as per the organizational needs. Using this functionality, you can:
add new tabs.
delete existing tabs.
make tabs 'silently active' (hide from users, but pass on their attribute values to AD).
rename tabs.
add a field from another tab to the required tab.*
delete attribute fields.
make attribute fields 'silently active'.
rename attribute fields.
make attribute fields 'read only'.
The deleted tabs and attribute fields are moved to the 'field tray' and can be dragged and dropped back into the template, if needed.
Steps:
Click AD Mgmt tab - - > Group Management.
Click Group Creation Templates link located under Dynamic Group Template section.
Click +Create link to create a new template.
You can add a small description about the template in the descriptionfield.
From the selected domain drop down menu, select the domain in which you want to create the dynamic DL group creation template.
Click Enable Drag-n-Drop to customize the template structure.
To configure dynamic DL group attributes, follow these instructions:
1. Under General tab,
In the name field, enter the desired name of the dynamic DL group.
In description, you can add a small description about the group.
In e-mail, provide an email which will be used to address the group.
In select container, select the container in which you want the group to be created.
In notes, you can add a note, if required.
In manager, select a group manager from the list of users in the drop down menu.
2. Under Filters tab,
In recipient container, you can select the container in which the desired members of this group are located.
In included recipient types, you can choose among the options and specify which recipient types can be members of this group.
In conditions, you can specify additional filters to narrow down the choice of members for this group. Click add conditions and use the three drop down menus to set conditions such as, 'department' 'is not' 'HR', to filter out the users belonging to the HR department from being members of this group, and so on. You can click on the + option to add more conditions. You can also specify if both or either of these conditions need to be met by choosing between the 'or' and 'and' options.
3. Under Exchange tab,
In the General section,
a. In alias, enter a mail alias for the group.
b.
In associated administrative group, select the appropriate administrative group from the drop down menu.
c. In simple display name, enter a simple display name for the group.
d.
To hide the group from Exchange address lists, click on the checkbox.
In the Delivery Restrictions section,
a. Set the limits for the receiving message size.
b. Use the accept messages from option to configure the sender list from which the group can receive messages.a. In mail tip, enter the content to be displayed to the senders when they are emailing to this dynamic DL group.
b.
Select message approval checkbox, if you want that the emails should be approved by a moderator before being sent.
c. In group moderator, select the users who will approve the outgoing emails.
d.
In exclude from message approval, enter the names of the users who will not need a moderator's approval before sending emails.
e.
Choose the desired notification settings from the options provided in the notifications field.
f.
In send on behalf, specify the users who can send messages on behalf of the group. As per this permission, the delegates will have an option to add the group to the 'From' field. The message will appear to be sent by the group and will say that it was sent by the delegate on behalf of the group.
g. In send as, specify the users who can send messages as the group. As per this permission, the delegates have the option to add the group to the 'From' field to indicate that the message was sent by the group.
Once you have made all the required customizations, save the template using the Save Template option.
