Password Manager Pro Mobile Access (Android)

Overview

Password Manager Pro provides a native android app to enable enterprise IT admins and ​users to securely retrieve passwords while on the go.

  • The mobile app is as secure as the desktop ​installation, as it uses the same AES-256 encryption for storing all the sensitive information.
  • All the communication b​etween Password Manager Pro and the mobile application is secured with the HTTPS protocol over SSL.
  • The mobile app provides two factor authentication i.e. users will have to authenticate through two successive stages to access the mobile interface. While the first authentication will be through the native authentication or AD / LDAP, the second level of authentication could be through any of the two factor authentication ​provisions supported.
  • After providing the authentication, users will be prompted to enter the pass phrase which they have to provide each time when they access the mobile app.This passphrase will be used as the local encryption key to successfully decipher passwords into plain text for a highly secured mobile access.
  • Administrators can selectively restrict the mobile app access to users from, Admin --> Users --> More Actions and select the option "Enable Mobile access"
  • Administrators can restrict users to cache passwords in mobile devices through an optional setting in Admin --> General settings --> User Management Allow user to cache the password for offline access in mobile

Note: Please do select your desired language on the Password Manager Pro desktop installation and the mobile device.

  • Step-1: Go to the Play Store and find ManageEngine Password Manager Pro
  • Step-2: On the app page, tap Free and then tap Install
  • Step-3: Enter your Play Store ID & password, the app will start installing

After successfully installing the mobile application, you need to enter the following details to get started with Password Manager Pro.

  • Step-4: Enter the Server Name or IP address in which Password Manager Pro is running. Make sure, the Password Manager Pro server and the mobile application are connected to the same network.
  • Step-5: Enter the port number.
  • Step-6: In case of MSP users, please select your organization name in the drop down list, the mobile interface will display only the resources specific to that particular organization.
  • Step-7: Enter the user name & password of your Password Manager Pro account. The mobile application also supports AD/LDAP (where domain name need to be chosen) authentication. Using the drop-down list, you can select your domain name.
  • Step-8: You need to set your passphrase and enter it every time, only ​then you can gain access into the mobile interface

Once you are done with the app installation on your android device and have signed into your account, you can view this main screen and the quick access bar

The main screen will display the list of all the resources owned by you or shared with you​. From the list you can tap on any resource to view its accounts.

  • A single tap on any account will help you to view the account details such as password masked as asterisks, resource name, account notes and last accessed time.
  • You should tap again on the asterisks to view the password.
  • Swapping the account screen ​on top will help you to view the resource attributes.

Quick Access Bar

You can open the quick access bar by swiping the screen from left to right or tapping the button present in the upper left corner of the main screen.


A) All Passwords

  • With this app, ​you get access to all your enterprise passwords, anywhere, anytime. Both owned and shared.
  • On signing in, the app will, by default, display the list of all the resources on its main screen.You can tap on any resource to view its account.
  • A single tap on any account will help you view the password ​masked as asterisks, resource name, account name and last accessed time.
  • You should tap again on the asterisks to view the password
  • Using the star icon, you can mark any password as favorite.
  • Swapping the account screen will help you view the resource attributes like resource name, resource owner, DNS name, password policy and resource type.
  • To retrieve specific passwords like your favorites, recently accessed passwords, Windows RDP passwords , SSH passwords etc, select t​he top left button as shown in the image above. A menu will slide in, from which you can view your desired list.

Favorites

  • Quick access to the list of all your frequently used passwords which were marked as favorites by you. This option helps you to easily locate a particular resource and its password, without scrolling through the entire list every single time.
  • You can mark any password as favorite from "All My Passwords" screen by ​selecting the star icon.

C) Recently Accessed

This option helps you to view only the list of recently accessed resources and their passwords. From the list you can tap on any resource to view its accounts.

  • A single tap on any account will help you to view the account details such as password ​masked as asterisks, resource name, account notes and last accessed time.
  • You should tap again on the asterisks to view the password.

D) Windows RDP Passwords

If your network has a list of heterogeneous resources, this option would help you to view only the list of Windows resources. From the list you can tap on any resource to view its account

  • A single tap on any account will help you to view the account details such as password hidden with asterisks, resource name, account notes and last accessed time.
  • You should tap again on the asterisks to view the password.
  • Swapping the account screen on the top will help you to view the resource attributes.

E) SSH Passwords

This option helps you to view only the resources that can be connected through SSH at a glance. Tap on any resource to view its user accounts.

  • A single tap on any account will help you to view the account details such as password hidden with asterisks, resource name, account notes and last accessed time.
  • You should tap again on the asterisks to view the password. Swapping the account screen on the top will help you to view the resource attributes

F) Resource Group

Resource groups created by the administrator users can be shared with other users or user groups. Users who are shared with the group can see passwords of only the resources that are part of the group at that point in time.

  • Tap on any resource to view its user accounts.
  • A single tap on any account will help you to view the account details such as password hidden with asterisks, resource name, account notes and last accessed time.
  • You should tap again on the asterisks to view the password.

G) Advanced Search

Finding out any particular user or resource is made very easy with this option. You can locate it using keywords like name, department, location etc.

H) Password Access Requests

  • Password Manager Pro administrators can view the list of pending password access requests from other users.
  • By swapping the screen, you can also view the list of passwords in use, the ones to be checked in, previously approved and denied requests .
  • Mobile app also supports the help desk integration. i.e. PMP validates whether the ticket ID entered by the user exists in the ticketing system and then only grant access to the user to view the password.

I) Settings

In the Settings, you can customize the various security options, view log in details and privacy policy of Password Manager Pro android app.

  • Login Details - It displays the user name and server to which Password Manager Pro is currently connected. The mobile app will also provide the secondary server details in the settings page, if the replication (high availability) feature is turned on. If the primary server is down, you can connect it to the secondary server for an uninterrupted service.
  • Security - To enhance the device and data security, Password Manager Pro offers several options like Keep Alive Period, Clear Clip Board and Reset passphrase.
  • Keep Alive Period - It is very helpful when you want to switch between Password Manager Pro and other apps multiple times within a short span of time.By default, the app do not let users to stay logged in and force them to authenticate every single time when accessing it. You can set your keep alive period ranging from 1 to 10 minutes. For security reasons, there is no provision to extend your keep alive period beyond 10 minutes.The most secure option is to have minimum keep alive period i.e. 1 minute.
  • Clear Clipboard - You can choose how long the data should remain in the clipboard, after you close the app. You can choose your clipboard clearing time ranging from 30 to 120 seconds. There is also an option never to clear the clipboard.
  • Reset passphrase - An option to modify your device passphrase whenever necessary. In general, Password Manager Pro recommends you to change the passphrase at regular intervals.

You can also view the data and privacy policy at the bottom. There is also an option to send your user experience feedback as well.

J) Easily copy secret details to your Clipboard

To eliminate the need for manually copying and pasting ​passwords, Password Manager Pro allows you to copy them to the clipboard. You can copy any ​password by long pressing on the same. An option to copy will appear on the screen.

K) Provision for Secure Offline Mode

The mobile app also facilitates secure offline mode to access passwords, when you don't have access to the internet.

  • Prior to getting into offline mode, you have to first download the required passwords. Only the passwords which are downloaded before going offline would be available for access afterwards.
  • Downloading every single password is practically not possible, so we advice you to download any particular list to access it in offline mode.To download any list , click on the download icon that is displayed beside the particular item.

Uninstalling the mobile application

To uninstall the mobile app:

  • Step-1: On the device home screen, press the ManageEngine Password Manager Pro icon and hold it until the icon starts to wobble.
  • Step-2: Tap on the delete button
  • Step-3: Tap the home screen again

When the application is uninstalled, all the data from the device is also removed.
