SharePoint Manager Plus helps you review site-level membership from one place, without switching between multiple native views or relying on custom scripts. The Site User Statistics report, one of more than 140 SharePoint reports, gives you a centralized view of user and group counts across your SharePoint environment.
Why you need a Site User Statistics report
Native SharePoint usage reports are built around content engagement. The Site Usage report in the Microsoft 365 admin center tells you how many unique viewers visited a site, how many page views it received, and how much time users spent there. What it does not tell you is how many users and groups currently have access to that site, and whether that number is appropriate for the content it holds.
Getting that membership picture through native tools means reviewing each site individually through the SharePoint admin center or gathering and compiling data using PowerShell, manually. In environments with hundreds or thousands of sites, neither approach scales well. Administrators trying to identify over-provisioned sites, flag outliers for access reviews, or verify that decommissioned projects have had their memberships cleaned up are left doing it piecemeal, with no consolidated starting point.
The Site User Statistics report gives administrators that consolidated starting point, a tenant-wide membership count for every site, instantly available and ready to act on:
- Identify over-provisioned sites before access reviews begin: Surface sites with user or group counts that exceed what their purpose justifies, flagging them for detailed review without first having to navigate into each one individually.
- Track membership trends across provisioning cycles: Run the report periodically to monitor whether user and group counts at specific sites are growing over time and detect provisioning drift before it accumulates into a governance problem.
- Validate post-project and offboarding cleanup: Confirm that sites associated with completed projects or departed users have had their memberships reduced appropriately, rather than leaving stale access in place after the collaboration has ended.
- Scope and prioritize tenant-wide access reviews: Use per-site user and group statistics as the initial screening layer for access reviews, focusing detailed analysis on sites with the highest or unexpected membership numbers.
- Support compliance reporting on access breadth: Provide auditors and compliance teams with a current, site-level record of how many users and groups hold access across the SharePoint tenant, supporting access inventory reviews and audit preparation.
What is the Site User Statistics report in SharePoint Manager Plus?
The Site User Statistics report provides a consolidated view of the user and group membership counts for every SharePoint site within a selected site collection. It includes each site's unique identifier, display name, URL, the total number of SharePoint groups associated with it, and the total number of users who hold access, giving administrators a precise, at-a-glance measure of each site's access footprint without reviewing sites one by one.
What does the Site User Statistics report show?
Using SharePoint Manager Plus, you can filter the Site User Statistics report with the following fields:
- Farm: Select the SharePoint farm or Microsoft 365 tenant from which you want to pull site user and group count data.
- Site: Narrow the report to a specific site to review membership counts across every site it contains.
The Site User Statistics report displays the following details for every site:
| Attribute | Description |
|---|---|
| Site GUID | The globally unique identifier assigned to the SharePoint site. |
| Site Name | The display name of the SharePoint site as configured at provisioning or last update. |
| Site URL | The full web address used to access the SharePoint site. |
| Total Site Groups | The total number of SharePoint groups associated with the site. |
| Total Site Users | The total number of individual users who have access to the SharePoint site. |
Native SharePoint reporting and PowerShell vs. SharePoint Manager Plus
In Microsoft 365, administrators can review site data through the SharePoint Site Usage report and membership details through per-site admin workflows in the SharePoint admin center. Those native options are useful, but they are still usage-focused or site-by-site. They do not provide one ready-made tenant-wide view of user and group counts across sites.
PowerShell can help bridge some of those gaps. PowerShell-based collection can retrieve site membership data across the environment, but building a meaningful report still requires aggregation, formatting, automation, and ongoing maintenance. SharePoint Manager Plus reduces that overhead by bringing this view into a single report that administrators can run, filter, export, and schedule without scripting knowledge.
Benefits of SharePoint Manager Plus' Site User Statistics report over other SharePoint reports
With SharePoint Manager Plus, your report combines the depth of PowerShell with the convenience of a centralized admin center.

Features that enhance the Site User Statistics report
SharePoint Manager Plus provides several built-in tools to help you act on, schedule, and distribute the data surfaced by the Site User Statistics report.
- Automated report generation: Schedule the report to run at defined intervals, daily, weekly, or monthly, so membership counts across every site in your tenant are continuously tracked.
- Export reports: Download the Site User Statistics report in CSV, PDF, HTML, or XLSX formats to maintain offline records for access review cycles and identity governance documentation.
- Real-time alerts for membership changes: Configure alerts to notify administrators when the user or group count at a site crosses a defined threshold, enabling proactive governance intervention before over-provisioning accumulates undetected.
- Access management: Act directly on the membership data surfaced by the report by controlling user and group access to sites from the SharePoint Manager Plus interface, without switching to individual site settings or running scripts.
- Customize reports: Modify the fields and filters in the Site Collection Statistics report, then save your configuration as a custom report for easy access whenever required.
