Business challenges

Managing employee identities efficiently had long been a balancing act for the IT team. With Workday serving as the organization’s HR system of record and AD as the backbone for user access, keeping both systems synchronized was crucial yet increasingly difficult.

Inconsistent data entry in Workday led to mismatched records in AD. Department names appeared in multiple formats, job titles weren’t standardized, and employee attributes often didn't reflect real-time changes. These inconsistencies not only caused confusion in reporting and access assignments but also posed compliance and audit risks.

Routine identity tasks, such as creating new accounts, disabling the employees on leave, and deprovisioning users after termination, were entirely manual. Each request required coordination between HR and IT, leading to delays, errors, and extra workload. The IT team needed a way to standardize data across systems, automate repetitive identity operations, and ensure that access control aligned perfectly with HR updates.

The lack of automation also made it harder to enforce security best practices like timely deprovisioning and least-privilege access. With multiple systems depending on accurate identity data, the team wanted to eliminate manual dependency and ensure that every user life cycle event from creation to deletion was handled automatically, securely, and consistently.

To resolve its identity management challenges, GTE Financial turned to ManageEngine ADManager Plus, an integrated platform designed to simplify and automate AD management. The IT team set out to create a fully automated link between Workday, its HR system, and AD, ensuring that user life cycle events, such as onboarding, offboarding, and role changes, happened seamlessly and accurately.

Using ADManager Plus, the team built a process where data from Workday automatically translated into accurate and standardized user attributes within AD. Details like department, job title, and location were synchronized, while missing or inconsistent information was automatically corrected using the tool's customizable templates. The automation extended across key employee events, new hires were onboarded instantly, departing users were disabled promptly, and those on extended leave had their access managed automatically.

The implementation journey, however, was as much about learning as it was about automation. Robert McCall, senior systems engineer, credits the OnboardPro team for guiding the organization through every stage of the integration. He highlighted how Arun Pandian, the onboarding specialist, played a crucial role in simplifying what could have been an overwhelming process.

"It never would've happened without Arun's help,” McCall said. “He was a superstar-especially with the Workday integration. The OnboardPro team didn't just implement the solution; they taught us how to make the automation work for our environment."

McCall added that the onboarding sessions were not just about setup but also about knowledge transfer.
