OmniMax International automates user life cycle management with ADManager Plus

Key challenges

Manual, inconsistent user life cycle management created major operational hurdles for OmniMax International. The HR team relied on spreadsheets and long email threads to communicate employee updates from UKG Pro, and the IT team followed a lengthy checklist to create, modify, or disable user accounts in Active Directory (AD).

Business challenges

"Coordination between our HR team and IT team felt like passing notes," said James White, director of IT at OmniMax.

The HR team recorded employee data in UKG Pro, but many updates reached the IT team only through exported spreadsheets and long email threads.

The IT team then had to translate that information into AD actions by following a detailed checklist and running PowerShell scripts.

Inconsistent job titles, department names, and employee identifiers often resulted in reporting errors and duplicate accounts. These issues slowed onboarding, delayed role changes, and sometimes left terminated employees with lingering access.

OmniMax needed an automated, auditable bridge between UKG Pro and AD to remove manual steps and maintain real-time identity accuracy.

The solution: ADManager Plus

"We wanted a solution that just worked without constant intervention," said White.

OmniMax implemented ADManager Plus and engaged ManageEngine's Implementation team to design a comprehensive integration with UKG Pro that matched the company's multi-entity structure and compliance requirements. The main goals were to ensure HR events translated into standardized AD attributes, fix data quality issues such as duplicates, and automate onboarding, role changes, temporary leaves of absence, and terminations.

Harish, technical consultant at ManageEngine, led the implementation and worked closely with OmniMax's IT team to map fields, configure business rules, and create custom workflows, including delayed provisioning until after I-9 verification.

ADManager Plus now synchronizes with UKG Pro, applies validated templates to new and updated records, and executes provisioning and deprovisioning tasks automatically. The integration manages group memberships and license assignments and ensures that termination events trigger immediate account disablement and license removal.

"Harish knew exactly what to do. He made a complicated rollout feel straightforward," said White. "The integration removed manual overhead and eliminated mistakes. It just works."

When asked to rate the experience, White gave it a 10 and called the result "fantastic." He praised the clear communication and technical expertise the Implementation team brought to the project and said the solution freed the IT team to focus on higher-value initiatives.
