Configuring Workflow Agents

    Workflow agents should be carefully configured because Active Directory is super sensitive to changes, so the composition of workflow agents should be restricted to users designated (authorized) to make such changes.

    Read on to know more about configuring the various 'workflow agents'.

    • Requesters: The agents who initiate the task or raise the request are called requesters.

      To configure Requesters:

      • Click on "requesters" under workflow delegation section of the workflow tab
      • The requesters creation page will appear with a table displaying the already existing requesters
      • On the top-right corner above the table you will notice two options, add a new requester and associate helpdesk technician to requesters
      • If you want to add a normal user to the requesters list, click on add a new requester
        • In the page that appears take the help of the labels and choose the domain in which you want to configure the requester.
        • Next you can either choose a specific user or a group(whose members have to be configured as requesters) or an OU(whose users have to be configured as users).

        • Example 1: say all administrators have to be allowed to raise requests for password resets, then they can be put in a group called "administrators", and the group can be configured as a requester for user password resets.

        • Example 2: say all employees of the HR department have to be allowed to raise requests for user creation, the OU containing HR employees can be configured as a requester for user creation.

        • Then choose the requester roles you intend to assign to the requester
        • Finally choose the OUs over which you would like to assign him as a requester and click save.
      • If you want to associate a helpdesk technician to the requesters list, click on associate help desk technician to requesters, a similar page as the one that appeared for add a new requester will appear except that here you will only be able to choose users who have been assigned the role of help desk technicians.

      Note:

      • If you wish to assign specific templates for a requester, or specify the filer servers for which a requester can create requests for permission changes, click the edit icon that is diplayed in the action column of the desired technician, from the list of technicians dispaled when you click the requesters link under the workflow tab, and assign templates and also the relevant file servers using the select file servers option.
      • Only users, groups or OUs configured as requesters can raise requests.

    • Reviewers: The agents who review a request and evaluate its pros and cons and share their comments on it are called reviewers.

      To configure Reviewers:

      • Click on "reviewers" under workflow delegation
      • A page with the list of already existing reviewers will open
      • You can add or remove reviewers in this list by using the ADD or REMOVE buttons
      • Keep in mind that only help desk technicians can be reviewers
    • Approvers: The workflow agents who hold the authority for approving a request that was raised are called approvers.

      To configure Approvers:

      • Click on "approvers" under workflow delegation
      • A page with the list of already existing approvers will open
      • You can add or remove approvers in this list by using the ADD or REMOVE buttons
      • Keep in mind that only help desk technicians can be reviewers
    • Executors: The workflow agents who take the responsibility for the completion of the task are called executors.

      To configure Executors:

      • Click on "executors" under workflow delegation
      • A page with the list of already existing executors will open
      • You can add or remove executors in this list by using the ADD or REMOVE buttons
      • Keep in mind that only help desk technicians can be executors
