Importing Users from a CSV file

This section is common to all editions of IT360 - Professional Edition, Enterprise Edition [Both Central Server and Probes], MSP Edition [Central Server and Probes]

IT360 allows you to import Users from a csv file. The imported Users are assigned the role Help Desk Requesters by default. Importing Users from a CSV file into IT360 helps you in automatically configuring Requesters for the servicedesk module.

Note:

1. You need to Configure Mail Server Settings, if you want to send e-mail notifications to the imported Users.

2. AD Authentication will not work / apply to Users imported from a CSV file. [AD Authentication works only for those Users who have been imported from the AD into the local database of IT360]

3. AD Domain Passwords will not apply to Users imported from a CSV file.

Steps to Import Users from a CSV file

Note 1: The column headers [in green font] are mandatory for importing Users from a csv file. The rest are optional.

  1. Login to IT360 console with the Username and Password of an Admin user.

  2. Click the Admin tab in the header pane.

  3. Click Users under User Management.

  4. In the wizard displayed, click the Import from CSV link. The below wizard is displayed:

  1. Click Choose File and select the relevant .csv file and click Next. You now see the Field Mapping screen (shown below):

  1. Map the fields in order by arranging in columns, such as (col:2), (col:3), etc.

  2. You are given the option to overwrite existing users information. Check the relevant box as appropriate [If you want to retain the current / existing information do not Check this option]

  3. You may also notify Users with the login credentials. Check the relevant box as appropriate [Include Email ID information in the CSV file, if you decide to notify the Users]

  4. Click Import.

  5. You now see a screen with the import information like Newly Added Records, Overwritten Records, Failed Records. This screen also displays the Failed Users list in CSV format. You may make necessary changes / corrections in this file and import these failed Users again. This feature avoids reimporting the successful records / Users. If you wish to make the changes / corrections at a later point in time, you will have to save this CSV file in your local machine

  6. The imported Users are assigned the role Help Desk Requesters by default. Click Close to return and view the imported users.

Viewing the Imported Users

    1. Login to IT360 console with the Username and Password of an Admin user.

    2. Click the Admin tab in the header pane.

    3. Click Users under User Management.

    4. Choose HelpDesk Requestors from the Filter dropdown. All the HelpDesk Requestors are listed (as shown in the below screenshot) along with the users imported as Requestors by you.

Changing the default Role of the imported Users/Requestors

All users imported through a CSV file are imported as 'HelpDeskRequesters' only. You may assign a differnet Role to them later. To assign a different role, do the following:

    1. Login to IT360 console with the Username and Password of an Admin user.

    2. Click the Admin tab in the header pane.

    3. Click Users under User Management.

    4. Choose HelpDesk Requestors from the Filter dropdown. All the HelpDesk Requestors are listed (as shown in the above screenshot)

    5. Enable the checkbox(es) against the required Requestor(s).

    6. Select the Role for this Requestor from the Assign Role dropdown menu on the top of Requesters List.

Now, the chosen Role is assigned to the HelpDesk Requestor and a success message is displayed as "Successfully assigned user(s) to role".
