Microsoft provides the following features to help you recover from accidental deletions in Microsoft 365.
- Recycle Bin
- Retention policies
However, these features have certain limitations. The following table compares the native methods available for data protection, their limitations, and how they can be overcome by using a Microsoft 365 backup solution like RecoveryManager Plus.
Feature | Microsoft 365 native method | RecoveryManager Plus | |
Recycle Bin | Exchange Online |
Items deleted from Exchange Online mailboxes are retained for a maximum of 30 days. Limitations: Items deleted earlier than 30 days cannot be recovered. |
Deleted mailbox items can be stored forever, and you can restore them whenever you need them. You can restore items no matter when they were deleted. |
SharePoint Online and OneDrive for Business |
Items deleted from SharePoint Online and OneDrive for Business sites are retained for a maximum of 93 days. Limitations: Items deleted earlier than 93 days cannot be recovered. |
Deleted SharePoint Online and OneDrive for Business site items can be stored forever, and you can restore them whenever you need them. You can restore items no matter when they were deleted. |
|
Retention polices (Exchange Online, SharePoint Online, and OneDrive for Business) |
You can configure retention policies for any duration. Creating a retention policy will prevent you from deleting items from mailboxes and sites. Limitations: Depending on the size of your organization and the volume of data that your company stores in Exchange Online, SharePoint Online, and OneDrive for Business, you might end up spending quite a bit on storing all your data. |
You can configure retention policies for any duration, and store a copy of all your mailbox and site items within your premises. Since the items are stored in a different location, you can maintain lean mailboxes and sites instead of spending on more storage space in your mailboxes and sites. |
